This policy explains what data BotSetu handles when you use botsetu.com, call one of our AI phone receptionists, or message one of our WhatsApp bots (including demo bots we run for businesses, such as the hospital demo). We keep it short and in plain language.

1. Data we collect

• Website: details you type into our forms (name, phone number, business name, message, consent), basic technical data (IP address, browser, pages visited) and, for the web call demo, the voice audio and text of the conversation.
• AI phone receptionist calls: your phone number, call time and duration, the call audio, its transcript and a short summary, and anything you tell the assistant (for example your name or appointment request).
• WhatsApp bots: your WhatsApp phone number and profile name, the messages and buttons you send, your language choice, and details you give for bookings or requests (name, preferred department or service, date and time, lab test or callback requests).

2. Why we use it

• To answer your questions, book or forward appointments and requests, and connect you to a human when you ask.
• To send the business (for example the clinic or shop) the details of your request so they can follow up.
• To reply to enquiries about BotSetu plans, and to keep the service secure, prevent abuse and fix problems.

We do not sell your data and we do not use it for unrelated advertising.

3. Storage

Data is stored on Cloudflare (website hosting, serverless functions and key-value storage). Access is limited to the people who run BotSetu and the business you contacted.

4. Sharing

We share data only as needed to provide the service:

• Meta / WhatsApp, to send and receive WhatsApp messages.
• Sarvam AI, to run the phone and voice assistants (speech recognition, replies and voice).
• Razorpay, only when a business pays for a BotSetu plan (payments are handled by Razorpay; we do not store card details).
• The business you contacted through its bot or receptionist, and authorities if the law requires it.

5. Retention

We keep conversation and request data only as long as needed to handle your request and support the business, and normally no longer than 12 months. Short-lived technical data (such as rate-limit counters) is deleted automatically within days. Demo data may be deleted at any time.

6. Opt-out

You can stop WhatsApp messages from us at any time by replying STOP. For email, use the unsubscribe or opt-out line in the email, or write to us. We only send messages you asked for or agreed to receive.

7. Data deletion

To delete your data, email [email protected] with your phone number, or send DELETE on WhatsApp to the bot you used. We will delete your data within 30 days and confirm once done.

8. Your rights and changes

You can ask to see or correct your data by writing to [email protected]. If we change this policy, we will update the date above.
